Our Company
We are currently recruiting for an Administration Support to be placed in Boden, Sweden on a 1-year contract, with possibility of extension. The Administrative Assistant Supervisor has a comprehensive understanding of a range of processes, procedures, systems, and concepts within the Administration discipline. They are capable of resolving problems by identifying and selecting solutions. The Administrative Assistant Supervisor analyses available information to solve ongoing Administration-specific problems. They directly impact the quality of tasks performed or services provided by the team.
Responsibilities
- Provide a secretarial function for the VP/Manager including ensuring meeting schedules are met, checking incoming and outgoing emails, and other tasks as directed
- Provide support to the management department/VP and Leadership team
- Prepare and update weekly and monthly reports
- Day-to-day operations for the Executive office
- Provide data for monthly HSE reports for corporate and clients
- Track man hours, incidents, HSE assessments, HSE Communication, and TBT attendance and ensuring the deadlines are met with an accurate report
- Establish and maintain positive and effective working relationships with internal employees and external clients in promoting the Division
- Create meeting presentations with analysis, charts, and figures
- Other assignments were given by the VP / Leadership team
Skills / Qualifications
- High school diploma or equivalent
- 2 to 4 years of experience working in an administrative assistant role, preferably in a large corporation
- Advanced knowledge of MS Office and other related software skills required; Advanced skills in operating a personal computer, various printers, fax machines, scanners, and other office equipment are necessary
- Excellent communication skills, both written and verbal
- In-depth knowledge of business procedures, letters, and report formats
- Able to read and comprehend instructions, and write correspondence and memos
- Able to effectively present information to co-workers and the public
- Strong organizational, multitasking, attention to detail, and interpersonal skills
- Able to work well with all levels of internal management and staff as well as client
