Role Overview
Our client, a renowned global EPCM, is seeking dynamic site administrators to join their team on a major iron ore project in the Pilbara. This position is based on a 2:1 FIFO roster, with flights out of Perth with a 10.5-hour workday.

As a key member of the team, you will:
  • Oversee end-to-end onboarding of contractor personnel, ensuring compliance with site access requirements, documentation, inductions, and competency verification.
  • Coordinate mobilisation and demobilisation, managing travel, accommodation, and site access logistics in alignment with project rosters and schedules.
  • Track onboarding and compliance status using internal systems to ensure personnel are site-ready.
  • Process and coordinate all travel requests via INX for contractors, village maintenance, and visitors, ensuring alignment with project schedules and FIFO rotations.
  • Provide administrative support, including document preparation, reporting, and communications for the site leadership team.
  • Regularly update and maintain the project SharePoint site with relevant documents, communications, and resources.
  • Prepare and distribute clear, professional communications and presentations for site-wide updates and project communications.
  • Assist in organising meetings, site events, and team briefings.
  • Maintain accurate and updated organisational charts, project contact lists, and distribution groups
What you’ll have:
  • Experience: Previous administrative experience in FIFO, remote, or project-based roles in the resources, mining, or infrastructure sectors. 
  • Qualifications: Formal training in business or office administration is preferred.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook). Familiarity with systems such as INX, SharePoint, and travel coordination platforms (e.g., SAM, VAMS) is desirable.
  • Communication: Strong verbal and written communication skills, with the ability to engage at all levels.
  • Project Support: Ability to manage communications, events, and support project needs.
  • Work Ethic: Team player, self-sufficient, and adaptable to changing environments.
  • Attention to Detail: Strong problem-solving skills and a proactive approach to tasks.
